Your tools say the work happened, got delivered, and got billed.
RevenueLoop checks whether that's actually true.

A revenue reconciliation audit for small agencies whose time tracker, project tool, and invoicing don't talk to each other.

Reply and I'll send the one-page intake. No call required. Your exports stay confidential and are deleted after the audit.

The gap nobody's watching

Your time tracker says the work happened. Your project tool says it was delivered. Your invoicing says it was billed. Your bank says it was paid.

Those are four different systems that don't talk to each other — so revenue leaks in the gaps between them. Most agencies never see it, because no single tool is looking across all four. You find out months later, when the margin's already gone.

How the audit works

  1. You send two exports. Your time-tracker export (Toggl, Harvest, Clockify) and your invoice & payment export (QuickBooks, Xero, FreshBooks) for one recent month — plus a short intake on each client's contract terms.
  2. I reconcile it, client by client. I check tracked vs delivered vs billed vs paid and flag every place they don't line up.
  3. You get a one-page result. Recoverable revenue for that month, broken down by leak type — with an honest line between what you can still collect and what's a pricing signal.

What you get

A recoverable number

Total revenue you can still collect or add to the next invoice this month — broken down by leak type, not a vague "you might be losing money."

An honest read

Money you can recover is kept separate from margin erosion (work beyond a fixed retainer you can't bill) and adjustments that may be intentional. No inflated headline.

Most leaks recur every month they aren't reconciled — which is why the audit is the start of a loop, not a one-off.

Who this is for

A good fit if you're…
  • A small agency, roughly 3–20 billable people
  • Billing on retainer, T&M, or retainer-with-overage, monthly
  • Using separate tools for time, projects, and invoicing
Probably not for you if you're…
  • A solo freelancer or flat-package VA shop
  • Already invoicing cleanly out of one tool
  • A large agency with a mature PSA that ties it all together

Price

$79

One agency, one month, one clear reconciliation. Credited toward your first month if you decide to keep monitoring it ongoing.

Most agencies reply first so I can confirm it's a fit before any payment.

Questions

Isn't this just an unbilled-hours report?

No. Time trackers already surface unbilled time inside their own data. This is the opposite problem: checking whether your separate systems agree — where tracked work, delivered work, invoices, and payments quietly disagree across tools that don't sync.

What exactly do you need from me?

Two CSV/Excel exports (time, and invoices+payments) for one month, plus a few lines on each client's contract terms. Reply and I'll send the intake — it takes a few minutes. Your exports stay confidential and are deleted once the audit is delivered.

How long does it take?

You'll have the one-page result back within a few business days of sending the exports.

What if you don't find anything?

Then you get a clean bill of health for that month — useful in itself. Most agencies we look at have at least one leak; if yours is genuinely tight, that's worth knowing too.

See whether your numbers actually match.
